What StockAI sends you over WhatsApp, what it sends your suppliers, and what has to be set up for it to work.
StockAI uses WhatsApp for five things. All of them go out through a Twilio account: your installation's or, if you set one up, your own company's.
What goes out over WhatsApp
- Orders to suppliers
- "Send order" under Orders sends the order to every supplier with WhatsApp (or email) on their card. Those with neither are skipped, and the confirmation names them before sending.
- The order to your own WhatsApp
- "Send to my WhatsApp" sends you the order text so you can forward it to the supplier. "Open in WhatsApp" and "Copy message" do the same without going through StockAI.
- The daily alert
- Every morning, if any products are in Order NOW or Order soon, a summary reaches whoever has a linked number. See Daily alerts.
- Team message heads-ups
- If someone writes to you under Messages while you are not in StockAI, you get a WhatsApp heads-up, or an SMS if WhatsApp is not available. Off by default.
- The assistant
- You can ask about your purchasing over WhatsApp. See The assistant on WhatsApp.
Linking your number
- Open My account and find "Link WhatsApp".
- Type your number with the country code, for example
+506…. - Enter the 6-digit code that arrives on WhatsApp. It expires in 15 minutes.
- If you want team-message heads-ups, switch on "Get a heads-up when someone writes to you" under "Team messages".
Without a linked number you get no WhatsApp alerts and cannot use the assistant over WhatsApp. Those two come with the WhatsApp bot: if your account does not have it enabled, the "Link WhatsApp" card says so (orders to suppliers go out regardless). Leaving the field empty is how you opt out of alerts on that channel.
What has to be configured
WhatsApp only works if the installation has a Twilio account configured. Whoever administers the server sees and sets it under Installation, on the "This installation" tab. Without Twilio, StockAI sends nothing over WhatsApp and says so instead of pretending it sent.
If your company wants its suppliers and team to receive messages from its own number, an administrator sets it under Installation → "My channels". Anything left empty there uses the installation's.
