Organization: subsidiaries and consolidated views

Link your subsidiaries' accounts to the parent company's and see their commitments, stock, orders and budget in consolidated read-only views.

On this page
  1. Who sees what
  2. Link a subsidiary (parent administrator)
  3. Join an organization (subsidiary administrator)
  4. End a link
  5. The consolidated views

Open Organization from Settings → Team → Organization. A parent company sees its subsidiaries in consolidated views; each subsidiary accepts the link with its own administrator and each person at the parent is given access one by one. Nothing can be changed from here: no account writes into another.

Who sees what

  • Consolidated views: anyone (any role) whom a parent administrator gave access to at least one subsidiary.
  • Linked subsidiaries and Join an organization: administrators only.
  • If the account is not part of any organization you will see "This account is not part of an organization". If you are not an administrator, the screen adds that only an administrator can create codes, accept links or give access.
  1. In Linked subsidiaries, type the Subsidiary name (only you see it; the subsidiary does not).
  2. Press "Create code". The Link code appears with a "Copy" button.
  3. Copy it now: it is not shown again, and it expires on the date the card gives. Hand it to the subsidiary's administrator.
  4. Until the subsidiary accepts it the link reads "Waiting for the subsidiary" (or "Code expired" once the date passes).
  5. Once accepted the link turns Active and shows the subsidiary's name. Under "Who can see it", pick a person in "Choose a person" and press "Give access". "Remove access" takes it back.

Join an organization (subsidiary administrator)

  1. In Join an organization, paste the Link code the parent gave you.
  2. Press "Accept link". The card turns into "This account is a subsidiary" and names the parent.

From then on the parent sees read-only summaries of your commitments, stock, orders and budget. It does not see other subsidiaries, and other subsidiaries do not see you. Ended links stay under "Earlier links".

End a link

Either side can press "End link" and confirm. If the parent ends it, the views stop including that subsidiary and every access is removed; if the subsidiary ends it, the parent stops seeing its data immediately. Linking again takes a new code.

The consolidated views

The Consolidated views card says which companies it covers ("Covers: …") and has "Refresh" and four tabs:

Commitments
Per company: commitments, units, weighted units, overdue and the next delivery, with the total and a monthly breakdown.
Stock by signal
Per company: its state (Counted, Out of date, Incomplete or Not calculated), products, how many are in each stock signal and the inventory value. A company with stale figures is dimmed and listed as excluded, not added to the total.
Purchase orders
Orders, cancelled, not sent, sent, awaiting payment, awaiting reception and their value. A picker chooses the last 30, 90, 180 or 365 days.
Budget and spend
Each running budget of each company: period, budget, spent, committed and remaining (red when over).
