Scheduled reports: summaries by email

A summary of purchasing, budget, committed demand and suppliers that reaches the people you choose by email every week or every month.

  1. Create a report
  2. Each report's card
  3. Allowed external emails

Open Scheduled reports from Settings → Automation and API. Administrators and analysts define them; a read-only user sees "Scheduled reports are set up by administrators and analysts." The screen itself sends nothing: the server sends at the scheduled time, in the company time zone (My account → Time zone).

A report says "Not available" when it cannot compute a figure, instead of making one up.

Create a report

  1. Press "New report". New scheduled report opens, with you already ticked as a recipient.
  2. Type the Name.
  3. Choose the Frequency: Every week (with the Day of the week) or Every month (with the Day of the month, up to the 28th so it exists every month).
  4. Choose the Time (in the company zone).
  5. Under What it includes, tick the sections (see below).
  6. Under Who receives it, tick people of your account. Optionally type External emails separated by commas (only those an administrator allowed).
  7. Press "Preview" to see how it would look today (for you only; nothing is sent), then "Save". Save is enabled with a name, at least one section and at least one recipient.
Purchasing summary
Orders generated, sent and received in the period.
Budget versus spend
What each running budget has spent and committed.
Committed demand
Open and fulfilled commitments, and how many are at risk.
Supplier on-time scorecard
Which suppliers meet their declared lead time.

Each report's card

Frequency
"Every Monday at 06:00 (… time)" or "On day N of every month…".
Sections
The ones it includes.
Next send / Last
When the next one goes out and how the last one went (queued, building, skipped or failed). "Not sent yet" if it never went out.
Recipients
Each person or address; if one will not receive it, it says why (asked not to, deactivated, limited warehouses, no longer allowed…).
Paused
Paused by a person, because it failed several times in a row, or because nobody is left to receive it. It is not sent until you resume it.

Buttons: Preview, History (each run with its status, how many emails were sent, pending, failed or dropped, and skipped recipients), Edit, Pause / Resume and Delete.

Allowed external emails

Only the addresses on this list can receive reports outside your account. An administrator types the address and presses "Allow", or "Remove" to take it off; an analyst sees the list but cannot change it. Every email sent carries a link to stop receiving it.
